This notice explains what personal data this website collects, why, and what you can ask us to do about it.
Who we are
The Oxford University Blues Committee is a student-led body that awards Blues and Half Blues and oversees the Blues status of Oxford sports clubs. We are the controller for the personal data described here.
What this website collects
This site has one form: the contact form. It collects the name, email address and message you enter. Nothing else on this site collects personal data about you.
Nominations, motions and club submissions are not made here. They happen in the Members App, which requires a login and has its own privacy information.
Cookies and analytics
This website sets no cookies and runs no analytics or tracking. Nothing is loaded from a third party when a page opens. Where a page offers an embedded calendar, it loads only after you press the button to load it, and only then does that provider receive a request from your browser.
Why we use it, and on what basis
We use what you send through the contact form to answer you, and we keep that correspondence as a record of Committee business. Our lawful basis is legitimate interests — running the Committee and responding to people who contact it.
Who else sees it
Contact form submissions are stored in the Members App and emailed to the Committee's own inbox. They are not sold, and they are not used for marketing or profiling. We share information with Oxford University Sport where we are required to.
How long we keep it
Contact form correspondence: one year. We keep what you send through the contact form, and our reply, for one year from the date of the last message in the exchange. After that it is deleted.
Blues awards and Committee decisions: kept permanently. A Blue is a sporting honour, and the record of who was awarded one, for which sport and in which year, is the award itself — as are the motions and decisions the Committee takes about Blues status. These are a historical record of the University's sport going back well over a century, and we keep them indefinitely for that reason rather than because they are useful to us administratively.
Your rights
You can ask us for a copy of your data, ask us to correct it, ask us to erase it, object to or restrict how we use it, and ask for it in a portable form. If you are unhappy with how we have handled your data you can complain to the Information Commissioner's Office.
Erasure applies to correspondence and contact details. It does not extend to the record of a Blue you were awarded or a decision the Committee made, because removing an entry from that record would not be correcting our files — it would be altering the historical record itself. We will always correct a record that is wrong.

Write to the Blues Committee Executive at blues.committee@sport.ox.ac.uk. Please use that address rather than the contact form above, so that your request reaches the Executive directly and is dealt with as a data protection request rather than as general correspondence.
We will respond within one month. If we need longer because a request is complex, we will tell you within that month and explain why.
